Lab generate a remarkable amount of information.

Test requests arrive. Samples or test articles need to be identified. Equipment has to be available and calibrated. Tests need to follow approved procedures. Results need to be recorded. Reports have to be reviewed and released. Throughout the process, lab also need to maintain records that may later be required for an audit, investigation or customer review.

Managing all of this becomes difficult when information is distributed across spreadsheets, paper forms, shared drives, emails and standalone applications.

A Laboratory Information Management System, commonly known as LIMS, provides a structured digital environment for managing laboratory information and workflows.

The term LIMS covers a broad category of laboratory software. The exact capabilities vary considerably depending on the laboratory, industry and type of testing involved.

This guide explains what a LIMS is, how LIMS software works, what lab use it for and what engineering and automotive test labs should consider when evaluating one.

What Is a LIMS?

LIMS stands for Laboratory Information Management System.

A LIMS is software that centralizes laboratory information, workflows, records and processes, replacing fragmented spreadsheets, folders and paper records with structured, traceable digital workflows.

Depending on the lab, a LIMS may manage:

  • Samples or test articles
  • Test requests and workflows
  • Scheduling and procedures
  • Equipment, calibration and maintenance
  • Data and result capture
  • Documents and permissions
  • Audit trails and reporting
  • Dashboards and KPIs

The scope of a LIMS depends on the lab’s needs. An automotive validation lab, for example, may need to manage test vehicles, prototypes, rigs, instrumentation, engineers, schedules, DVPs and equipment calibration.

Choosing the right LIMS therefore starts with understanding what your lab actually needs to manage.

Why Do Labs Use LIMS Software?

Lab processes become harder to coordinate as testing volumes increase.

A small lab may initially manage operations through spreadsheets, shared folders and email. These tools can work when the number of tests, people and resources is limited.

Problems begin to appear as operations expand.

  • Which version of the test procedure was used?
  • Who approved the test request?
  • Is the required equipment available?
  • Was the instrument within calibration when the test was performed?
  • Where is the latest result?
  • Has the test report been approved?
  • Which tests are still waiting for execution?

These questions become harder to answer when different parts of the process are maintained in different places or softwares.

A LIMS creates a common ground where lab information can be managed with greater consistency and traceability.

For technical and physical labs, the need for structured lab management can also become particularly important when preparing for audits or working towards standards such as ISO/IEC 17025.

How Does a LIMS Work?

A LIMS typically creates a digital record for lab work and connects relevant information to that record as it moves through the lab.

Consider a simplified testing workflow.

A test request is submitted with information about what needs to be tested. The lab reviews the request and determines the required procedure, equipment and resources. The work is scheduled and assigned. Testing is performed and results are captured. The results are reviewed before a report is generated and released.

A LIMS can maintain the information created throughout this process.

This gives the laboratory a traceable history of the work rather than a collection of disconnected records.

For example, a completed test record could contain:

  • Original test request
  • Requestor information
  • Test article or sample details
  • Test procedure
  • Assigned technician or engineer
  • Equipment used
  • Equipment calibration status
  • Test date
  • Measurements and observations
  • Images and supporting files
  • Deviations or incidents
  • Approval history
  • Final report

The result is a more complete digital record of what happened during the test.

Core Functions of a LIMS

There is no universal feature set shared by every Laboratory Information Management System. However, several capabilities are commonly associated with LIMS software.

1. Test Request and Sample Management

Lab work needs a defined starting point.

A LIMS provides structured forms for submitting test requests or registering samples, with standardized fields to capture the information required before work begins.

For engineering labs, requests may involve a component, prototype, vehicle or subsystem rather than a conventional sample.

2. Workflow Management

Lab work often passes through multiple stages and teams.

A request may require technical review before scheduling, while results may need engineering approval before a report is released.

LIMS software defines these workflows and records their status, giving teams a clearer view of what needs to happen next.

3. Laboratory Scheduling

Scheduling is particularly important in physical testing environments.

A test may require a specific chamber, rig, test cell, instrument, technician and test article at the same time. Effective scheduling therefore requires visibility into whether all required resources are available and ready.

This becomes difficult when schedules, equipment records and personnel availability are maintained separately.

4. Equipment Management

Laboratory equipment has its own lifecycle.

Each asset may have identification, location, availability, calibration, maintenance and service records.

Equipment management software connects these records with day-to-day testing, helping teams confirm that assets are available and ready before a test begins.

This is particularly important when equipment is shared across multiple programmes.

5. Test Data and Result Management

A central purpose of a LIMS is to keep laboratory information organized and accessible.

Results can be linked to the relevant test, sample, test article or project instead of being stored across separate folders and spreadsheets.

This makes historical results easier to retrieve and compare.

6. Traceability and Audit Trails

Labs often need to know who performed an action and when.

A digital audit trail can record:

  • Record creation
  • Data changes
  • Status changes
  • Reviews
  • Approvals
  • Report release

This creates a clear history of the laboratory record and supports investigations, quality processes and audit preparation.

7. Laboratory Reporting

Producing a test report can require information from multiple sources.

Test conditions, results and equipment information may be stored separately, making report preparation time-consuming.

When this information is connected to the test record, reporting can be standardized or automated, reducing manual effort.

LIMS and Lab Data Management

The value of a LIMS depends heavily on the quality of the information entering it.

Moving an inconsistent process into software does not automatically create reliable laboratory data.

Lab need clear structures for naming, recording, reviewing and maintaining information.

For labs evaluating digital transformation, getting the underlying data structure right should therefore be an early priority.

LIMS for Physical Testing Laboratories

The requirements of a physical test laboratory can differ considerably from those of analytical laboratories.

Physical testing may support activities such as Developmental Test and Evaluation (DTE), involving test rigs, environmental chambers, instrumentation, fixtures, prototypes, vehicles, components, technicians, engineers and shared lab spaces.

Managing a test lab therefore involves more than maintaining test records. Teams also need to coordinate equipment, people, schedules and facilities around each test.

A test cannot proceed simply because the request has been approved. The right rig must be available. The required instrumentation must be ready. Calibration needs to be valid. The technician needs to be available and the test article may need to complete prerequisite work.

These dependencies are one reason physical testing laboratories should evaluate LIMS software against the way testing actually happens inside the facility.

What Is an Automotive LIMS?

An automotive LIMS is a Laboratory Information Management System designed or configured around automotive testing and validation processes.

Automotive testing can involve component, subsystem and complete vehicle validation across durability, safety, environmental performance, NVH, electrical systems and other engineering disciplines.

In these environments, individual tests are often part of a much larger validation programme, including Developmental Test and Evaluation (DTE). Requirements may be translated into a Design Validation Plan (DVP) before individual tests are requested, scheduled, performed and reported. Maintaining this connection is an important part of DVP management because teams need to know which tests support each requirement and how changes to the validation plan affect planned or completed work.

An automotive LIMS may therefore need to coordinate:

  • Engineering test requests
  • Development and validation plans
  • Test procedures
  • Test vehicles and prototypes
  • Test rigs
  • Measurement equipment
  • Calibration
  • Preventive maintenance
  • Technicians and engineers
  • Test schedules
  • Test observations
  • Incidents
  • Approvals
  • Test reports
  • Validation status

The operational requirements extend well beyond storing a final test result.

Keeping these activities within a connected environment or digital thread gives teams a traceable path from the original testing requirement through to the completed test record.

When Does a Lab Need a LIMS?

There is no fixed lab size at which LIMS software becomes necessary.

Operational complexity is usually a better indicator.

A lab may reach that point when test volumes become difficult to track, equipment availability is unclear or teams spend increasing amounts of time moving information between spreadsheets, documents and other systems.

This is particularly common when labs have gradually built their processes around spreadsheets. As the number of projects, tests and resources increases, managing test lab operations through spreadsheets can make relationships between schedules, equipment, test records and reports harder to maintain.

Other warning signs include:

  • Multiple spreadsheets being used to manage daily work
  • Duplicate versions of the same information
  • Calibration records being disconnected from testing
  • Reports requiring significant manual compilation
  • Historical test information and data taking too long to retrieve
  • Audit preparation requiring records from several sources
  • Different departments using separate tools for connected processes
  • Management lacking a reliable view of laboratory workload

Several of these problems appearing together can indicate that the lab has outgrown its existing information management approach.
